Custom Software Development: A Project Brief for Comparing Proposals

A good software project brief helps suppliers estimate the same problem. It describes who needs the application, which workflow matters first, and how you will decide whether the result works. A technology list alone does not answer those questions.

Start with the business workflow

Describe the current process and its main limitation. Identify the person who owns the outcome and the people who will use the product. Separate an observed problem, such as repeated data entry, from an assumed solution, such as rebuilding the entire system.

For example, “our account managers enter approved orders into two systems” is a clearer starting point than “we need a modern portal.” Record frequency, handling time, and known errors where you have evidence.

Define the first usable release

• The primary user and the task they must complete.
• The screens, data, and permissions required for that task.
• The integrations that must work for the release to be useful.
• The acceptance criteria and who approves them.
• The features deliberately left for later.

A bounded first release makes a proposal easier to review and creates a point at which real user feedback can change the roadmap. It does not remove the need for security, accessibility, or reliable operations.

List integrations and existing constraints

Include the CRM, ERP, payment, identity, content, and reporting systems involved. Identify who owns access and whether API documentation is available. Flag data migration and record-matching rules early: an interface estimate that excludes migration may not represent the cost of launching the product.

Compare proposals using the same questions

Decide how much architecture to specify

If you have an existing product and maintenance team, explain their stack and constraints. If you are starting fresh, state the requirements and ask the supplier to justify the architecture. Avoid choosing a framework solely because it appears in a popular comparison.

Make AI features testable

If the product includes AI, describe the exact task, representative inputs, acceptable outputs, and review process. Include examples where the system should ask for help or refuse to take an action. Evaluate a pilot against those cases before expanding the feature.

Do not assume every project needs a custom model. An existing model integration, retrieval workflow, rules-based process, or conventional application may meet the requirement with less operational complexity.
